If your company decided to have Teamogy consultant to help you and guide you throught to the implementation than you have already at least one member of the Onboarding team from Teamogy. Let’s add also the guys from your company to set up the best team what will onboard your company.

Think about who will be in charge of to guide your company through onboarding. Who knows your business and has authority in your company and is motivated to this job 

Onboarding manger duty is

Collect all data needed for proper setup, Knows teamogy perfectly, Is able to share knowledge within the team

What else describes onboarding manager?

Person who prefer transparency and simplicity instead of complicated details. Person who is a bit tech savvy. 

And how much time is needed?

Person should be focused mainly to this project. But aproximately in next 3 weeks it is about 5 mandays

Who is Teamogy onboarding manager?

– Experienced consultant who is able to introduce the system to key people in company and is able to set the system according to the agreement with client

– Dedicated to the onboarding will be one, who has cappacity to onboard client and has relevant knowledge and experiences

Client onboarding manager

– Teamogy will be the core system used in company. Experienced person who’s mainly ambition is to have simple streamlined and transparently running company should be the partner from client side

– Teamogy love to cooperate with CEO’s, MD’s CFO’s or any other top managers in the company

note: The more people from the company will be involved the more opinions and various approach will affect the implementation. Just consider that and choose the one, or the team who is able to decide well for your business

Duties and responsibilities of Onboarding manager

Basic setup of system needs to be done before the other team members will join

 

  • Upload logo and set up the printouts
  • Create all users of Teamogy
  • Prepare list of companies (clients & brands) to be imported (optional)
  • Set up financial part (Numbering sequence of invoices)
  • Who will do what in system, who is whom supervisor, who will see what (access rights)
  • Decide what advanced features will be implemented (Approvals, Dimensions,..)

Onboarding manager will allways be one step ahead with the knowledge about how to use Teamogy. So is able to share this knowledge with others in the team. Basic training for all users is simple but important

All common training sessions are ready in section of Training, so Onboarding manager is able to first study and than share the knowledge within the team

Self training of users using our Teamogy manuals & guides or face to face training with Teamogy master is possible. System is easy to understand, so it will be smooth

Onboarding manager should supervise at least at the very beginning that people are using Teamogy well and basic entries are created constantly. Activities are becomming into habits usually after 21 days, so in this period is necessary to mainly check:

  • Jobs are opened for every single new project, activity for clients
  • Time is tracked on a daily basis by almost everyone in the team
  • Quotations are created in the documents module
  • 3rd party costs are entered into Teamogy
  • Clients are billed based on data or directly from Teamogy
  • Tasks are distributed for all kind of requests coming from clients or from agency itself

Onboarding manager should be mastering Teamogy and should be able to answer various questions from colleagues. Anytime is possible to use Teamogy consultants to have a helping hand with any kind of request or needs. 

As was mentioned in the overview, the using of the new system is big change. Onboarding manager should know what will be changed for each user. What tools will not be used anymore. When is necessary to strart working in Teamogy and cut the access to olde sytems and so on. To plan this action is so important.
