4. Internal overheads & Purchase orders and related costs

4.1 Internal overheads description

Internal overheads are for operating costs monitoring.. Operating costs are normal costs in every company – office rent, water purchasing, electricity, etc.

4.2 How create new internal overhead

It is important to have good internal overheads structure to know the value of operating costs for the specific type of expense like salaries, rentals, IT, etc.. Internal overheads are usually opened for 1 year to collect the operating costs.

4.3 How to create a Purchase order

Sometimes is needed to order the goods or services from the supplier. To specify exactly what we need from them, what we will be the price for their services and when we need the services will be delivered, is the best to using Purchase orders.

4.4 New purchase invoice 

You should think about who will be doing the action of entering the invoice into Teamogy. It is not necessarily this action is operated by back office or HR. In some companies finance people are in charge to do this. But to know how to do it is a must for back office people as well.

Output/Practical part: Create you first purchase invoice. Choose the supplier you have certified before and the purchase order was prepared for him. Fill in detail about supply dates and description. Don’t forget to choose category of invoice and link the costs with your correct internal overhead. After save attach the original invoice scan/pdf.

5. Documents management (Contracts, Handover protocols, etc..)

5.1 Documents – overview

We recommend to enter all important documents into Teamogy. No matter if they are client job related or internal. All belongs to be in Teamogy. You will have “digital” register of all your documents including real documents as an attachments. It is easy to setup who can see and read the document and it is available anytime. There is many types of document so it is very easy to find the document you need.

5.2 New document

Enter all important documents to the Teamogy to have it available everytime it is needed. Select good document type and company of the document to have easy way how to find it. Do not forget to setup access for the document to be sure that it will be available for people who need it.

6. Attendance & Absences

6.1 Attendance – Check-in/Check-out

This functionality in Teamogy allows the company to track and monitor attendance of their employees. It shows how much time each employee spends in work each day. Attendance enable you to track late arrivals, early departures and time taken on breaks. This information is important for HR.

6.2 Absences

Users can apply for vacation, home office, and other types of absences. Absence requests may also have an approval process – the most common is when the supervisor approves the request of his employee and the final approval is made by a responsible HR person.

7. Cashbox transactions

7.1 About Cashbox module

Cashbox is a overview of company cash and card transactions. It is usually managed by finance team and back-office.

7.2 Cash operations

It is possible to register credit and debit operations and bill reimbursement to keep the cashbox bilance under control. It is also ready to work with different currencies and activate approval process for these operations.

8. Gems & Configuration

8.1 Gems

Gems are representing the knowledge, best practises and other important information of the company. It is great to keep all the company rules and recommendations there to be able to share it with someone when it is needed, for example new employee.

8.2 Configuration – New user creation

New user creation is usually managed by system configurator of HR team. New colleague should have access to the system as soon as possible to get the habits common in the company.

Groups in Teamogy are very important for user’s access rights and role setting. HR team should be able to setup groups for user or modify it.
